Effortlessly Copy and Paste Data in Airtable - A Step-by-Step Guide

Airtable, known for its versatility as a spreadsheet-database hybrid, offers an intuitive way to manage and organize data. One fundamental feature is the ability to copy and paste data, which resembles traditional spreadsheet functionalities yet with enhanced capabilities thanks to Airtable's unique features. Below, we explore how to utilize this feature effectively to streamline your workflow in Airtable.


Copying and Pasting Single or Multiple Cells



  1. Click on the cell or range of cells you want to copy. For multiple cells, click and drag to select or use Shift + click for a range.

  2. Right-click to open the context menu and choose Copy, or simply use the keyboard shortcut Ctrl + C (Windows) or Cmd + C (Mac).

  3. Navigate to the destination cell or cells.

  4. Right-click again and select Paste, or use Ctrl + V (Windows) or Cmd + V (Mac) to paste the copied data.


Duplicating Rows or Records



  1. To copy an entire row, click the record's selector on the far left to highlight the entire row.

  2. Right-click and choose Copy or use the appropriate keyboard shortcut.

  3. Click on an empty row's selector where you want to duplicate the data.

  4. Right-click and select Paste, or use the keyboard shortcut to paste the entire row.


Copying and Pasting Between Different Bases


Airtable allows you to copy data from one base to another. However, you must ensure that the field types between the source and destination bases are compatible.



  1. Follow the same steps as above to copy the desired data.

  2. Switch to the destination base and navigate to the appropriate table and field.

  3. Paste the data using the right-click context menu or keyboard shortcuts.


Tips and Troubleshooting



  • If you encounter issues with pasting, verify that the field types match between the source and destination.

  • Use Ctrl + Shift + V (Windows) or Cmd + Shift + V (Mac) to paste values without formatting.

  • Remember that Airtable won't allow pasting into certain field types, such as auto-number, formula, or rollup fields.
