Master Automating Email Attachments with Zapier: A Step-By-Step Guide

Published on Feb 28th, 2024

In the fast-paced world of business, automation is key to efficiency. Zapier, a tool that connects your favorite apps and automates workflows, can transform the way you manage your tasks, including sending emails with attachments. Here's how to streamline your email attachments using Zapier:

Step 1: Create a Zapier Account
Start by signing up for a Zapier account if you don't already have one. Navigate to zapier.com and follow the sign-up process.

Step 2: Make a New Zap
Once logged in, click on 'Make a Zap' to create a new workflow. Zaps are the automated workflows that connect your apps and services together.

Step 3: Choose Your Trigger App
Every Zap starts with a trigger—an event in an app that kicks off your workflow. Perhaps you're using Google Drive or Dropbox for storing files you want to send. Select your trigger app and specify the exact trigger event.

Step 4: Set Up Your Trigger
Configure the triggers by choosing the specific folder or conditions under which a file is picked up by Zapier for sending.

Step 5: Choose Your Email App as the Action
For the action part of your Zap, choose the email app you use, like Gmail or Outlook. You’ll then select 'Send Email' as the action to be performed by Zapier.

Step 6: Customize Your Email
Fill in the email template with the necessary details such as the recipient's email address, subject line, and body. For attachments, you will link to the file(s) that your trigger event is set to detect.

Step 7: Test Your Zap
Before setting it live, make sure to test your Zap thoroughly to ensure the attachment is included in the email correctly.

Step 8: Activate Your Zap
If the test is successful, you're ready to switch on your Zap. Now every time the trigger event occurs, Zapier will automatically send an email with the specified attachment.

With these simple steps, you can fully automate the process of sending emails with attachments, freeing up your time to focus on more strategic tasks. Remember to regularly check your Zaps to ensure they continue to run smoothly as intended.
