Automate Your Schedule: Create Calendar Events from Trello Due Dates with Zapier

Published on Feb 28th, 2024

Streamlining project management and staying on top of deadlines is crucial for both personal and professional productivity. Trello is a powerful tool that helps in organizing tasks, but to enhance its functionality, integrating it with other applications like Google Calendar can work wonders for your time management. Here’s where Zapier comes into play, acting as a bridge between Trello and countless other apps, including calendar services.

Zapier is an online automation tool that connects your favorite apps, such as Trello, Google Calendar, Outlook, and more. It can move information between your web apps automatically, so you can focus on your most important work. By setting up a 'Zap,' you can automate repetitive tasks without coding or relying on developers to build the integration.

Here's how to create a calendar event automatically when a due date is added to a Trello card:

Step 1: Sign up for Zapier, if you haven’t already, and log in to your account.

Step 2: Click on 'Make a Zap!' button to create a new Zap.

Step 3: Choose Trello as your trigger app. You’ll need to connect your Trello account to Zapier if you haven’t done that previously.

Step 4: Select the 'Card Due Date Set' trigger or a similar trigger depending on your preference and set up the trigger by choosing the specific board and list you want to monitor for due dates.

Step 5: Test the trigger to make sure Zapier can access the due dates of your Trello cards.

Step 6: Choose your calendar app (Google Calendar, Outlook, etc.) as the action app where the new event will be created.

Step 7: Connect your calendar to Zapier and set up the action. Here, you will map data from the Trello card, such as the due date and card title, to correspond with the calendar event's date and title.

Step 8: Test this action to confirm that a new event is created in your calendar when a Trello card due date is set.

Step 9: Once you're happy with the setup, turn on your Zap, and it will run in the background, keeping your calendar updated with all Trello due dates.

Using Zapier to connect Trello and your calendar brings a seamless flow to managing projects and meeting deadlines. No more manual entry of dates or last-minute rushes to meet forgotten tasks. It’s a simple yet effective automation that ensures you’re always aware of your project timelines and can plan your schedule accordingly.

Remember to explore other Zaps as well, such as updating a card when a calendar event is changed, adding Trello cards to Google Calendar as tasks, or even sending reminders to Slack before a due date. The possibilities are endless, and you can customize the workflows according to your needs.
