Switch Fax privacy notice
Pre-launch draft for review. Version 2026-10-27-draft-2. This is the proposed product-specific fax notice.
Scope and information we process
This notice covers Switch Fax operated by Switch Labs LC. It describes this fax service specifically, including necessary processing that differs from local-only PDF tools or Gmail add-ons. We process your account email, service address and address confirmation, sender and destination details, uploaded and received documents, transmission status, usage, payment references and support or abuse reports.
Why we use the information
We use this information to verify accounts, prepare and route faxes, receive documents, maintain receipts, provide billing and tax-location records, send service notices, prevent abuse and resolve disputes. Service-address confirmation records your statement about your primary place of use; it is not independent address validation or a completed tax assessment. Update it when your place of use changes.
Necessary recipients and service providers
Your chosen recipient receives the transmitted content, sender header and any cover-sheet information. Our fax carrier processes document content and routing metadata. Private storage and hosting providers hold the files needed to operate the service. The payment processor handles card information, and email/security providers process the information needed for service notices and abuse protection. Payment-card fields are provided by the payment processor; our fax database stores payment references rather than full card numbers.
We limit access to document content to service delivery and necessary support, security or legal purposes. We do not sell fax document contents or use them for our advertising or model training. Processing may occur in the United States and other locations used by our providers; this service does not promise a particular data-residency arrangement or a HIPAA business associate agreement.
Retention and your choices
Outgoing documents are normally removed from active fax storage 30 days after completion or abandonment, received files 30 days after receipt, and unused uploads after one day. Unresolved transmission and retry decisions can extend the outgoing period. We verify a stored incoming copy before requesting deletion of the carrier's copy. Provider backups and legal holds may follow different schedules. Receipts and billing, tax-location, dispute and security records can remain longer where needed for lawful recordkeeping.
You can download available files and receipts, update your service address, cancel inbox renewal and request port-out through the dashboard. Contact support@switchlabs.dev about access, correction, deletion or other privacy rights. We verify requests and explain any legal or operational reason that prevents immediate deletion. We cannot retract a fax already transmitted or control the recipient's retention of it.
