About Relay and this policy
Relay is a customer communication and workflow platform operated by Switch Labs LC. A Relay account can use the core CRM and help desk as well as optional modules such as Thread Pilot, ThreadPDF, and Google Calendar Call Prep. This policy explains how Relay handles Google user data across those modules.
Relay uses one Google application identity, but it does not make every module mandatory. You choose which modules to enable and connect the Google services those modules need. Gmail modules can share one Gmail connection. Calendar access is requested separately when you choose to connect Google Calendar.

Signs you into Relay, identifies the Google account you selected, and verifies the owner of a connected Gmail or Calendar account.

Supports Relay help desk operations and optional Gmail modules by reading messages and threads, observing Gmail history, managing drafts, using the correct Send-As identity, and applying user-requested labels or mailbox actions.
Google Calendar
calendar.readonly and calendar.calendarlist.readonly
Lists the calendars available to you and reads events from the calendars you choose so Relay can sync customer meetings and prepare call context. Relay's customer OAuth grant does not edit your calendars.
Relay requests the narrowest implemented permissions needed for the module you activate. If a future module requires a new Google permission, Relay will request that permission only when the feature is available and you choose to use it.
Gmail data and Gmail modules
With your permission, Relay may access Gmail messages and threads, message bodies, headers, participants, attachments, labels, dates, draft state, Gmail history, your Gmail account address, and configured Send-As identities and signatures. The exact use depends on the modules you enable.
- Relay CRM and help desk can organize customer conversations, create agent-review drafts, preserve thread and sender identity, and carry out mailbox actions selected by an authorized user.
- Thread Pilot identifies eligible unanswered conversations and saves a proposed follow-up as a reply draft in the original Gmail thread. Thread Pilot does not automatically send its generated follow-ups.
- ThreadPDF reads Gmail threads and attachments the user selects. PDF rendering and downloaded files remain on the user's device. Relay stores the shared authorization credential but does not proxy the selected email or attachment bytes for PDF rendering.
Google Calendar data and Calendar modules
If you enable Google Calendar Call Prep, Relay lists the calendars available to the connected account and lets you choose which ones to sync. Relay may read event titles, descriptions, dates, times, locations, conferencing information, organizers, attendees, response status, and calendar metadata from the calendars you select.
Relay uses this information to identify customer-facing meetings, match meetings to CRM contacts and companies, display upcoming events, and generate meeting-preparation context. The customer Google Calendar OAuth connection is read-only and does not create, edit, share, or delete calendar events.
AI processing and service providers
When you use an AI-powered Relay feature, the Gmail, Calendar, CRM, or knowledge-base information needed for that feature may be processed by service providers used to operate Relay, which may include OpenAI or Anthropic. Relay does not send Google OAuth tokens or Google account passwords to AI providers.
Relay may also use database, hosting, monitoring, and email infrastructure providers to operate, secure, and support the service. These providers receive information only as needed to perform services for Switch Labs. We do not sell Google user data, use it for targeted advertising, or transfer it to data brokers.
Storage and retention
Relay stores account and organization settings, encrypted or service-only Google authorization credentials, synchronization state, module configuration, and the CRM records needed to provide enabled features. Help desk use may retain relevant Gmail content and attachments in the customer workspace. Calendar Call Prep may retain selected calendar metadata, event details, matching results, and generated preparation records.
A standalone Thread Pilot connection keeps bounded provider receipts for up to 90 days to prevent duplicate follow-ups and track whether a reply was sent or received; it does not retain unrelated personal-message bodies through that receipt path. ThreadPDF output files and selected source bytes are processed locally and are not retained by Relay for the export.
We retain other information for as long as needed to provide the service, maintain security and operational records, comply with legal obligations, and resolve disputes. Limited backup or audit copies may remain for a reasonable period where required for security, recovery, or legal compliance.
Your choices, disconnection, and deletion
You can disable an optional Relay module without closing your Relay account. You can disconnect Gmail or Google Calendar from Relay's integration settings, and you can revoke Relay's access from your Google Account permissions. Disconnecting a shared Gmail connection stops every Relay Gmail module using that connection. Disconnecting Calendar stops future Calendar sync.
Revoking a Google grant stops future API access but does not by itself delete information already stored in Relay. To request deletion of your Relay account or stored Google-derived data, contact us at hello@switchlabs.dev. We will verify the request and delete or de-identify covered information subject to security, legal, and backup-retention requirements.
Security and administrator-authorized accounts
Relay uses access controls, tenant separation, encrypted transport, service-only credential storage, monitoring, and other technical and organizational safeguards intended to prevent unauthorized access, alteration, disclosure, or loss. No internet service can guarantee absolute security.
Switch Labs may use administrator-authorized Google Workspace service accounts for mailboxes and calendars owned by Switch Labs or its affiliated businesses. Those first-party operational authorizations are separate from the Google OAuth permission a Relay customer grants and are not used to access a customer's Workspace unless that customer's administrator separately authorizes it.
Google API Services User Data Policy
Relay's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide or improve the prominent user-facing Relay features described in this policy.
